Goodwill Email
Date: January 17, 2011
From: Your Name
S-4, NCOIC
To: S-4 Clerks

Over three years, we have undertaken renewed efforts to improve the efficiency and effectiveness of our financial budget plan. As we are all aware, we are presented nowadays with the unique challenges of a recession. Our funds have been drastically cut over that time. But I am proud to say that our shop has managed to keep a tight budget in these difficult times, mostly due your shops ability to train and enforce rules effectively. So, with that being said, we have been recommended to train the rest of the brigade on our ability to stay within our budget. To show my appreciation for this effort and recommendation, I will be hosting a special dinner for the entire shop on February 16, 2011 at 7pm at the Fort Eustis Club. We hope that this will serve as inspiration to the whole company. Family and friends are encouraged to attend.

This letter will mainly be addressing those who have investments in the organization as well as other stakeholders that are involved with the organization. The information in the letter would mainly consider information that has changed such as the industry changes, information regarding their investments and their portfolios and the time and location of the meeting as well as the date. It's critical though to not point out that anything has changed significantly or to make the stakeholders or investors scared/frightened that something has negatively happened. The information should be restricted to the bare basics and shouldn't include much about the topic of the meeting apart from what is going to be talked about, where the meeting is as well as time and date.…

As noted in Appendix A-A basic communication model, “the basic communications model is the starting point for analyzing the communications process in terms of the intent of the sender, the needs of the receiver, and the elements of the communications environment” (University of Phoenix, 2009, para. 1). In today’s business one of the most common and widely used forms of communication is e-mail. E-mail sent in a business environment requires a professional vocabulary and tone that is not normally used in personal e-mails yet it still needs to be conversational. According to Nancy Flynn, director of the ePolicy Institute and author of Writing Effective E-mail and E-mail Rules, “the average office worker spends 49 minutes managing e-mail daily, while upper level managers spend up to four hours a day on email” (Mardesich, 2010, guides, para. 3). With so much time spent managing the receipt and sending of e-mails in business it is important that employees understand the basic communication model. Understanding this process when sending e-mails allows employees to communicate more effectively as well as know when to use e-mail, and when another form of communication would be more effective. Any form of communication follows the same basic communication model. E-mail is just a faster and more efficient form of communication. Following is an analysis of three business e-mails using the components of the basic communication process.…

A way that I can improve message transmission when using email is reducing the size of emails. Some attachments take up a lot of space in emails and can slow down message transmission. To improve the speed of message transmission I try to keep email attachment sizes to a minimum. Doing this will speed up the transmission process and will result in sending and receiving emails a lot quicker. Mailbox restrictions are also a good way to improve message transmission. If I ever receive an email from an unknown or suspicious source I mark it as ‘junk’. Marking the email as junk will put all future emails I receive from that sender straight into my junk mail folder. This will save time clearing out all the junk emails from my inbox.…
