Communication Scenarios
I am writing to describe how I would personally respond to three different scenarios that deal with communication. I will explain how I would handle each situation as each scenario is different.
Scenario 1
In scenario 1, a situation is described where communication needs to be addressed to get some important details to big group of a marketing team in order to make a plan for a new advertisement campaign. I would choose to have a face-to-face meeting for this information to be communicated effectively. The reason that I choose this form of communication is because there is a time sensitive matter with this project. You only have a very short length of time to respond with your answer for the strategy. In a face-to-face meeting you could communicate the details to everyone and receive immediate feedback. This would allow you to go ahead and create a plan of action as well.
I would then write the newly devised strategy up and send it to the Vice President of Operations so that he/she could read it and have it in writing in case there were any questions. I believe that this would be the best way to get the communication conveyed properly for this situation.
Scenario 2
In this second scenario imperative information needs to be given out immediately to 11 employees. The employees need this information to be able to access a computer application that they all use. Since the new login and password are the same for the entire group, I would chose to send an e-mail out to the entire group. I would mark it as highly important and ask for a return response once the e-mail had been read.
I believe that the e-mail communication would be best in this situation because it would not be necessary to see everyone face-to-face to pass this information along. I also think that personal phone calls may be too time consuming and every employees has a different schedule so some are going to need the information

    Effective communication is vital to the smooth running of a business and various methods of communication are used within a business environment to achieve this. Each form has various benefits to communicate effectively to their designated target audience. When communication is carried out properly it means the sender and receiver both correctly obtain the same information. Each form of communication will be chosen to which is applicable to the situation for example for a one-to-one/ team meeting will be best carried out face-to-face as it is the most effective way to make sure a point is understood properly, as it is a lot more personal and professional. Whereas if a company wants to distribute a monthly newsletter, this wouldn't need to be as personal as a face to face, it could be carried out over email.     Even though email is a quick and easy way to get information out to the team it is sometimes not as effective as a face to face meeting. This is because some employees grasp what is expected through the written word and others through a face to face meeting in which they can ask questions and give suggestions while receiving feedback. Before using any of these methods, the manager has to be prepared in that all the information the he needs to know has to be collected and reviewed by him. Then he can send an email to the team outlining the task, expected goals and intended results. He should then invite everyone to have any questions or suggestions that could improve on the plan to have them written down so that it could all be reviewed at the team meeting.     Although I am not currently employed, there were many methods of communication used in order to share knowledge and information to the employees. A method used companywide is to hold a whole store meeting every three months. At that time, the store manager would “roll out” any new policies or procedures to all the employees at once. This method seemed to be the most effective, since the information was coming directly from the store manager and any questions could be asked directly. Another way was to have meetings with all of us supervisors, letting us know of any pertinent information. Following the meeting it was then the supervisors’ responsibility to relay the information to their department. This method was less effective because there were more chances for the information to be changed as it was passed down. Lastly, the other form of communication used was bulletins. The upper management would often post notifications in the break room to let associates know of any new important information.
