UNIVERSITY OF GHANA BASIC SCHOOL LEGON OLD STUDENTS’ ASSOCIATION (2002 YEAR GROUP)
CONSTITUTION

PREAMBLE
We, the 2002 Year Group of the University of Ghana Basic School Legon Old Students’ Association, realizing that we share a common past and in recognition of the role played by our Alma Mater in our various lives have resolved that by coming together we shall be able to establish a continuous link among ourselves, form a support group for each other as well as contribute in various ways to the needs of our Alma Mater. It is in furtherance of these principles that we resolve to form ourselves into an Association.
ARTICLE 1: NAME
The association shall be known as University of Ghana Basic School Legon Old Students’ Association (2002 Year Group)
ARTICLE 2: AIMS AND OBJECTIVES (1) To unite the 2002 year group leavers of the school. (2) To form a bond of unity between the 2002 year group leavers and the school. (3) To provide a medium by which interest in the school shall be maintained. (4) To meet, deliberate and formulate appropriate plans and measures to advance the betterment and progress of the school. (5) To see to the welfare of its members.
ARTICLE 3: MEMBERSHIP
Membership is opened to all 2002 year group leavers of the University of Ghana Basic School Legon.
ARTICLE 4: OFFICERS AND TERMS OF SERVICE (1) The officers of the Association shall consist of a President, a Vice-President, a Secretary and a Treasurer. (2) All officers shall be elected every five (5) years at a General Meeting. (3) Elected officers shall not hold the same office for more than three (3) consecutive terms. (4) The Vice-President in the absence of the President shall preside at all Executive Committee and General Meetings. (5) In the absence of the President and the Vice-President, the members of the association shall appoint a Chairman from among members of the Executive Committee present to preside at the meeting.
ARTICLE 5: EXECUTIVE COMMITTEE (1) The Executive Committee shall consist of the four (4) executive officers of the association and five (5) members who would be elected at a General Meeting. (2) The affairs of the Association shall be managed by the Executive Committee. (3) The quorum for an Executive Committee meeting shall be four (4) thus in the event of a tie during voting, the Chairman shall have an additional casting vote. (4) The elected members shall be chosen every five (5) years at a General Meeting. (5) Vacancies among the officers/members of the executive committee occasioned by death, resignation or refusal to serve, shall be filled in by the Committee.

ARTICLE 6: EXECUTIVE OFFICERS AND DUTIES (1) President: (a) The President shall convene and preside over all meetings of the Executive Committee and the Association. (b) Shall head the association and determine the direction of the group. (c) Shall enforce all provisions of this constitution. (d) Shall at the end of term present a written report of tenure at the General Meeting.

(2) Vice-President: (a) The Vice-President shall assume the powers, duties and responsibilities of the President in the absence of the President. (b) Shall supervise all programmes of the association. (c) Shall ensure the proper execution of all activities of the group.

(3) Secretary: (a) Shall keep the records of the meetings of the association, general and emergency meetings as well as elections that may occur. (b) Shall read and distribute copies of the previous meeting’s minutes. (c) Shall be responsible for taking attendance at meetings. (d) Shall take charge of all documents belonging to the association. (e) Shall have a list of all officers and members and notify them of meetings. (f) Shall conduct all correspondence as directed.

(4) Treasurer: (a) Shall be the custodian of the associations’ funds and shall properly handle all funds. (b) Keep an accurate record of all transactions. (c) Shall advise the association on financial position. (d) Shall present a report of the finances of the association at the General Meeting.

ARTICLE 7: SUB-COMMITTEES
The Executive Committee may appoint such sub-committees as may be thought desirable from the members of the Association.

ARTICLE 8: FINANCE (1) There shall be no membership registration fees. (2) Membership dues shall be determined and revised accordingly at a general meeting. (3) All members of the association shall be invited however from time to time to make further subscriptions or donations for purposes approved by the Executive Committee.

ARTICLE 9: ADMINISTRATION OF FUNDS (1) Money received on behalf of the Association shall be deposited in a current account to be held in the name of the University of Ghana Basic School Old Students’ Association (2002 Year Group). (2) Any two (2) of the three (3) signatories, the Treasurer, the President or in his absence the Vice-President shall have the mandate to operate the bank account.

ARTICLE 10: GENERAL MEETINGS (1) The General Meetings of the Association shall be held at such a time as the Executive Committee may determine. (2) The quorum for the General Meeting shall be fifteen (15). (3) The Executive Committee shall give at least twenty-one (21) days’ notice for the convening of the General Meeting.

ARTICLE 11: AMENDMENT TO THE CONSTITUTION (1) No part of this constitution shall be altered, repealed or additions made until due notice of the proposed amendment has been placed on the agenda of the general meeting. (2) Notice of such proposed amendment shall be circulated to members, one month in advance. (3) Such an amendment shall have to receive assent of at least two-thirds (2/3) of the members present and voting at the general meeting.

ARTICLE 12: BENEFITS/WELFARE
Members of the Association shall be supported with a token sum of money in the event of weddings, bereavement or such as would be determined by members of the Association at a General Meeting.
