It further gives sufficiently clear arguments to enable the vice-chancellor make an informed decision on the way forward.
The paper will first define the major concepts under review before outlining the pros and cons of a database management system (DBMS) and finally give sufficiently clear arguments to enable the vice-chancellor make an informed decision on the way forward.
DEFINITIONS OF MAJOR CONCEPTS
To begin with are the definitions of major concepts under review and these are pros and cons, and database management system (DBMS).
According to the oxford university dictionary, pros and cons mean advantages and disadvantages or arguments for and against something. A database management system (DBMS) on the other hand can be broken down and be defined as single concepts as follows: ‘data’ are the raw facts or figures which are processed to get the information. A database is a collection of data stored in a standardized format, designed to be processed, shared by different users and may have single or multiple tables organized in rows and columns. Therefore, a database management system (DBMS) can be defined as “ a software that defines a database, stores the data and supports a query language, produces reports, and creates data entry forms”, (Laudon, 2000:221). Others have defined a database management system as a complex set of software programs that controls the organization, storage, management, and retrieval of data in a database.
ADVANTAGES OF DATABASE MANAGEMENT SYSTEMS
Database management system (DBMS) is a central system which provides a common interface between the data and the various front-end programs in the application. It also provides a central location for the whole data in the application to reside.

A database is a structure that can store information about multiple types of entities, the attributes of those entities, and the relationships between the entities (Pratt & Adamski, 2012, Chapter 1). How data is received, stored, processed, and made available to others has an effect on the success or failure of an organization. The use of different architecture is a most to fit the needs of the organization, however the value of the data still remains in been able to access and extract information from the database system, and the only way this can be reached is by organizing, storing, and analyzing it effectively. For many organizations these systems have become an essential part of their structural and operational success.…

In simplest terms, a relational database is one that presents information in tables with rows and columns.” “A table is referred to as a relation in the sense that it is a collection of objects of the same type (rows).” “Data in a table can be related according to common keys or concepts, and the ability to retrieve related data from a table is the basis for the term relational database.” “A Database Management System (DBMS) handles the way data is stored, maintained, and retrieved.” “In the case of a relational database, a Relational Database Management System (RDBMS) performs these tasks. The most important benefit of the database is to change unstructured information into structured information, and allow users to analysis the data stored into different tables with the help of queries. Before database, all the information used to stored into paper and other unstructured computer programs, due to which getting required information process was very slow. Due to database, all the data is stored into the server and not only access of these became faster but also multiple users can access database at the same time. It removes redundancy from the tables, and ensure that the data all over the database is consistent, and also ensure the integrity of the data.…

Databases are possible because of their database management system (DBMS). As shown in Figure 4.2, the DBMS is a software program that sits between the actual data stored in the system and the application programs that use the data. As shown in Figure 4.4, this allows users to separate the way they view the data (called the logical view) from the way the data is actually stored (the physical view). The DBMS interprets the users ' requests and retrieves, manipulates, or stores the data as needed. The two distinct views separate the applications from the physical information, providing increased flexibility in applications, improved data security, and ease of use.…
