TECHNICAL WRITING
The effective use of E-mail
Consider its uses and abuses. What problems are companies encountering? How are some organizations solving those problems?

First, what is E-mail? E-mail or Electronic mail is a method of exchanging digital messages across the Internet or other computer networks. E-mail is transmitted directly from one user's device to another user's computer, which required both computers to be online at the same time. In business, e-mail was widely accepted by as the first broad electronic communication medium and was the first ‘e-revolution’ in business communication. E-mail is very simple to understand and like postal mail, e-mail solves two basic problems of communication: logistics and synchronization. Solving the problem of logistics because much of the business world relies upon communications between people who are not physically in the same building, area or even country; setting up and attending an in-person meeting, telephone call, or conference call can be inconvenient, time-consuming, and costly. E-mail provides a way to exchange information between two or more people with no set-up costs and that is generally far less expensive than physical meetings or phone calls. It also solves the problem of synchronization with real time communication by meetings or phone calls, participants have to work on the same schedule, and each participant must spend the same amount of time in the meeting or call. E-mail allows asynchrony: each participant may control their schedule independently. Most business workers today spend from one to two hours of their working day on e-mail: reading, ordering, sorting, re-contextualizing fragmented information, and writing e-mail. The use of e-mail is increasing due to increasing levels of globalisation—labour division and outsourcing amongst other things.     Business communication forms are continually evolving into many different forms. There was a time when communications were done by simpler means such as telephone, mail or by courier. That is not because that was the way businesses chose to communicate, but because it was the only way to. Technology had not advanced to accommodate busy lifestyles, and business deals that can fall apart in a matter of seconds simply because they could not speak to someone that was far away right at that very moment. That keeps everyone tapped into one another by a simple click of a button, and the ease of speaking to someone for some last minute input into a project can take place without the inconvenience of having to call that person on the phone. Due to the fast speed of the Internet this allows businesses to work at a faster pace and communicate more effectively. Decreased cost and speed is some of the business advantages of using email. A business might want to limit how an employee’s uses email during work hours to prevent lawsuits from someone outside the company and by not using emailing for personal use during business hours would bring up better productivity from the employees. There is a cost savings as well because of employees may receive an email message that was infected with a virus and when it is opened it then spreads to the computer and then to the network that infects all the other workstations. Some of these email viruses also send messages back out by using your contact/address book. This costs the company as they try and control the virus and ensure none of the other workstations get infected. An emails path, after it leaves an organization, is usually meant to go to a certain person or persons, but can end up spread throughout the internet by hackers. This is non-encrypted text that is routed from your organization back to their Internet provider through routers and hubs that typically routes to other internet providers and back to the person or persons. Since there are so many locations a hacker can capture your open email message and use it wrongly.…
