Dear Management,
After analyzing the capability of a DVD-ROM and an external mass storage device I have concluded that the best and most effective way to store data is with an external device. The reasons are that an external mass storage device is faster and has more capability to store more data than a DVD-ROM. 1. It’s more convenient in the way that it’s easy to set up just by connecting a USB port to computer. 2. External drives have more speed and transfers data faster than a DVD. 3. External drives are portable, can take external device with you and connect with any computer.
They are both portable but DVD if not taken care of properly they can get scratch and data may not be readable. External drives come in handy when as back up data and easy for use when needed to transfer data or save it. It also keeps files secure for those who use internet to share or transfer through the web. In the long run it becomes more economical and environmental friendly to use an external storage device.
I highly recommend using the external storage device for the company as it has a lot of benefits and easy to use for employees when storing/transferring data from computer to device or to another computer. Saves space on storage by not having DVD’S being stored properly and labeled. External device hold much more space and user friendly.
In this letter I give you the key points on why I recommend the external storage and the few of many advantages this will be to the company in the long run, if further information is needed or presentation of how to use feel free to contact me and arrange a meeting or conference call. Thank you for your time
Sincerely,
IT Director
Ana

The main purpose of storing information is for easy retrieval in the future when it is required. Storing certain information may be part of company policy. There will be procedures in place in order to make sure files are stored correctly and in line with data protection. Depending on the type of information, information can be stored in either filing cabinets or electronically. Depending on the nature of the business, different types of information will have to be stored, for example a legal practice needs information such as court papers and legal documents where as a car company may only need to keep a record of personal details. Information about the company can be kept as well, highly confidential files related to the company or employees or customers / clients. So files have to be stored following all the confidentiality procedures and protected according to data protection act. The purpose of information retrieval is to provide quality service for the right person at the right time, with all the required information in hand. Only if data is stored in a procedural manner it can be easily retrieved. Information might be retrieved for marketing purposes, for communications with clients, for monitoring purposes, and other research that the business might conduct.…

As a consultant for the company, I would recommend they invest in Universal File Access (UFA). UFA, developed by NTP Software, is technology that integrates with common storage hosts, cloud, and object stores to make an organization’s file data available to end users on any device consistent with its active directory security and other policies. What separates it from consumer-oriented “sync and share” products is that UFA is an end-to-end enterprise solution that provides corporate end users the ability to create and interact safely and securely with an organization’s file data using any…

The world is changing daily and many companies are looking to develop ways to save on production and hardware. The idea of having a system that allows a company to store files away from the main server will help a company to store more and free space on the main server. Many computer owners have issues with trying to find a place to store files and other media.
