CHAPTER I
LIBRARY MANAGEMENT SYSTEM

1.1. Overview of the Current State

Computers have been used within libraries since the 60s; initially isolated tasks were automated, but these systems have evolved over the years and today they are used virtually for a wide range of complex tasks from the management of all the administrative and routine operations of libraries to information organization, storage and retrieval, communications and more. Throughout the years, computer-based system used within libraries has been referred to by different names including LIBRARY MANAGEMENT SYSTEM.

The system is intended for monitoring and controlling the transaction in a library. This includes cataloguing, circulation and accessioning of books and related library materials. Its primary purpose is to help the librarian, the students and the teachers. It also includes the process of organizing important information in terms of borrowing/returning books. Help’s simplify the task of managing a physical library consisting of individual inventory items such as books, magazines, and other reading materials and also provide timeless library transactions. In addition, it can save time and more convenient to use than the traditional manual library processes.

The purpose of this study is to develop Notre Dame-Siena College of Polomolok a library Management System that could help the librarian and the users made a transaction and processes in a reliable way. Storing and retrieving of information are very important and using this automated Library Management System is a big help for us to make Library transactions more faster that will give good services to the researchers and less human effort specially to the librarian in assisting the library users.

1.2 Research Objectives
1.2.1 General Objective:
The aim of this study is to develop Notre Dame-Siena College Polomolok a Library Management System.

1.2.2 Specific Objectives
Specifically, this study aims to:
1. Develop a system that will enhance the manual library management system;
2. Design a system that will cater the students and teachers to easily access the books;
3. Design a system that can provide fast and easy way borrowing, returning and reservation of books;
4. Design a system that could help the Librarian to easily control all the transaction involves in the library.
5. Design a database which will serve as a centralized storage of book information.
6. Create a user-friendly client-server environment.
1.2.3. Scope and Limitations

This study aims to provide computerized library management processing. This helps the librarian to control all the books from borrowing, returning, receiving new books and all the facilities that are being used in the library. Using camera, the system has its unique user’s data, it can take picture for personal identification aside from its ID number. The System is using a bar code scanner in order to easily input all the book information and other reading materials in the library. Students and personnel can easily search for books they look for as long as the book information is provided either of the following:------------book title, category, author, year published and subject. It is also included the payment process of overdue account and receipts are given. It is also generates inventory reports. Back-ups are made weekly, all the information is burn in DVD disc in order for the future use. In terms of security both client and server users has its account, when the librarian has an assistant he/she also has an account but doesn’t have the same features just like the librarian. The system cannot access online related titles through internet because it is not a Web-based system. Resources are limited and depend only on the availability of books, magazines, journals and etc.. the system also doesn’t have the capability to detect of someone brings out the book in the library. The security of the book is not responsible buy the system but is on the hands of the library.

1.2.4. Significance of the Study

The system will be significant to the following:

1. Librarian – The study will help the administrator to manipulate books information. It also helps the librarian to easily update all the books that is borrowed, returned, reserved and even used in the library. Also, it will generate substantial reports needed by the librarian.

2. Students – This study helps students to easily access their desired books by simply searching the books information to check whether available or not. In terms of borrowing, the system also provides features specifically for the students.

3. Teachers and Personnel - The study provides specific feature for teachers and personnel’s accessibility of the books. They can borrow and reserve books using their account.

4. Future Researcher – it will help them t know more about Library Management System and to try doing more improvement about this system.
