How effectively do you think Rachel spent her day?

After reading the case “A Day in the Life of Rachel”, the Project Manager of a large information systems Project, we could say that there are several places where her effectiveness can be improved and there are several things that she did appropriately.

Rachel needs to improve her system of checking her email/voice mail. She had several unplanned breaks and should improve the way she is managing interruptions and the project status meetings. She has not established the right process of communication between marketing and the project management team. She wasted time taking responsibility of Victoria’s project instead of bringing it to the portfolio management team.

Among the things I consider she did correctly, we could mention the good communication she has with her boss. She listens to her team’s problems making a good line of communication between her and her team. Rachel meets with her team members and she provides feedback on a job well done.

Some of the things she could do to improve her effectiveness are:
• Have a consistent email/voice mail communication process.
• She needs to set expectations on days that she is going to be out on client’s places, so that she can manage the team better.
• Rachel does not need to indulge in spreading rumors.
• She lets interruptions and unplanned breaks get in the way of making progress on the real issues.
• At the time she meets with her team, she should not ask open ended questions. She needs to ask the right questions to get the right information without wasting

Even though she is clearly busy early in the day she makes enough time for her boss to discuss progress with the project. The one thing it tells me for sure is that being project manager is a very hectic job. It clearly takes all that a person has to do such a difficult and fast paced job. Coming in to work early and staying at work much later than everyone else is the minimum a person can do. The project manger has many responsibilities that the rest of team doesn't, all the personnel have to do is get their task for the day and complete it, but the project manager not only has to assign these individual tasks but also manage the progress and deal with any unforeseen obstacles that may arise. The project manager has to keep everything on track and running smoothly, and Rachel has been doing a good job of it.…

    She tends to forget a lot of what she must do, including responding to the pile of e-mails, fighting for resources within the department. Just recently the pediatrician department, set new hours, stating manning issues. So, they reduced there hours of giving shots to children as well as closing for lunch and shutting down early. The NCOIC of my department said she would handle it. She went in unprepared without a plan to try and negotiate. The PEDS department had the upper hand and kept the schedule they posted. Leaving us to pick up the work load without help from them, while we remain shorthanded as well.
