Prof. Warren Hampton Roads Pride “Out in the Park” Festival

Hampton Roads Pride, a local 501(c) (3) non-profit group, has contracted my company, Divine Debauchery, to produce their annual Gay, Lesbian, Bisexual, and Transgender (GLBT) Pride Festival titled “Out in the Park”. The event will be held Sunday, June 28, 2009 at Chesapeake City Park and is free and open to the public. In past years the event has attracted upwards of 5000 attendees and we are anticipating a slight increase in attendance this year. We have been allotted a budget of $30,000 to cover all costs. Divine Debauchery will be responsible for securing the event location, contacting and arranging for all tables, chairs, tents, and sound systems, acquiring an ABC One-day Special Event Permit for Wine and Beer sales, contacting and arranging for Hoffman beverage company to provide a beer truck with spouts, providing trained and certified bartenders, acquiring all needed insurances, hiring entertainment and arranging their travel and lodging, and hiring the required security for the event. Divine Debauchery will also be responsible for the layout of the festival space, including food court area and beer garden, as well as a vendor’s marketplace, and for promoting the event. As this is a fundraising event for our client and vendors are charged a fee to participate Hampton Roads Pride has elected to be solely responsible for merchandise and food vendor participation. This will be noted in Divine Debauchery’s contract with our client to

In this next section S.W.O.T analysis will be used to analyze the festivals strengths, weaknesses, opportunities, and threats which will provide the framework that the recommendations will be based upon. The festival has many strengths that have enabled its continued success since its infancy. The location for the festival alone is a great strength as it takes place within the popular Gros Morne National Park which provides a setting of amazing natural landscapes, and spectacular scenery for the event. It is apparent that the festivals majority of customers are locals from nearby communities, which is great as it shows the festival has the support of the nearby communities, and does not rely on visitors from afar or out of the providence. The strong focus on community can also be seen within the festival as there are various local artists, musicians, and writers showcased along with the numerous local programs and collaborations with local arts groups, including the: Theatre Newfoundland and Labrador, Gross Morne Summer Music Program, and school outreach programs.…

Volunteers were told the overview of the event prior to signing up, and a timeline was given to each as well. I am unaware of the budget for the event, but knowing it was a fundraiser I am sure this was a top priority to the event planners. The Civic Center seemed to be the perfect location for the event. There was plenty of room inside for all of the entertainment and attractions, as well as plenty of parking outside to accommodate everyone. There were quite enough staffing and volunteers for the event, and I think having everyone work in shifts was a wonderful idea. We did not receive an agenda, but as far as I could tell everything seemed I am not sure all of the vendors involved in the event either. As for the food and beverage, this was the main focus of the event. People specifically bought tickets to eat pancakes. I am unaware as to how much was spent on food, but volunteers prepared and served the food so a catering team was not needed. There were no transportation needs for the event. There was a registration open to sell tickets and to check-in volunteers at the event. Due to the fact that there were so many volunteers, we did not have nametags. I do not believe that there were any outside sponsors of the event. There was a band playing on stage for entertainment, as well as a clown, a lion mascot walking around, face painting, raffle tickets, and other activities for people to enjoy. I personally did not see any…

This report analyses the Botanic to Bridge fun run, a local fundraising event in the city of Gladstone. This analysis will help highlight the inner workings of local events and how they are implemented. Both the Communications and Media Specialist and the Communications and Public Relations Manager for the event were contacted, with both supplying great amounts of information about the event, including the logistics of the event, the use of an Event Management Plan to minimise associated risks and the staffing requirements. It was found however that due to the regulations of the Gladstone Ports Corporation, no information could be given on the budgetary requirements, leaving a gap in the analysis of this event. Although no budget could be given, information was found on how the event is funded, with a huge importance put on sponsors. The elements of the Promotions Mix used throughout the promotion of the Botanic to Bridge are also analysed, as well as the successfulness of such advertisements. Lastly, suggestions are made as to how event organisers could improve the event, such as a greater focus on entertainment for the children involved.…
