COMMUNICATION SKILLS

INTRODUCTION
This session describes the communication process. In our model for this course, we concentrate on individual communication, but the principles and theories remain the same, regardless of whether we communicate with individuals or groups, or with society at large. In this section, we will look at communication theory, reading body language and listening skills.
1 COMMUNICATION THEORY

The theory shown in Figure 1 is general for all kinds of communication, including conversation, body language, data networks, and so on. It works as follows:

    One cannot understand others, respond effectively, or provide supportive feedback without taking the time to listen and hear everything that was said. One study estimated that 45 percent of all communication time is spent listening, compared with 30 percent speaking, 16 percent reading, and 9 percent writing .We sometimes confuse hearing with listening. Listening involves hearing, but it is much more than just the physiological act of your ears perceiving a sound and transmitting the auditory sensation to your brain. Listening is a complex psychological process that can be defined as the process of physically hearing, interpreting that sound, and understanding the significance of it (Hayes, 1991). While most people think they are fairly good listeners, studies show that the majority of people listen poorly and inefficiently (Lee & Hatesohl, 1993). According to John Adair, to be an effective listener, one must possess six qualities which are motivating yourself to listen, clearly hearing the message, paying attention to the message, correctly interpreting the message, evaluating the message, and remembering and responding appropriately. Motivation yourself to listen to one another simply means to make eye contact, focus on what the other will say, and having an open mind about what is about to be said. Outside distractions such as noise makes it impossible to hear what is being said and leads to assumptions being made.…

    While all of the complexities of human communication can not be captured in a single model, this diagram will offer a reasonable begining. A sender source has a message in mind. The source intends to “encode” the message into language that will be understood by the receiver. Perhaps it is a statement of the sender’s preference for a particular outcome in a negotiation. The message may be encoded into verbal language or it may be encoded into nonverbal expression. Once encoded, the message is then transmitted –sent via voice or facial expression, or written statement, and through face-to-face interaction, video, letter, telegram, etc.- to the receiver.The receivers receptors pick up the transmission, and “recode” the message to give it meaning to the receiver. In a one way of communication cycle this would constitute a completed transmission. A source who puts his message in writing and sends it by mail to the receiver generally assumes that the message is received and understood. However, most communication –particularly in negotiation- involves continued dialogue and discussion between at least two parties. As a result, the receiver takes on a more active role in the communication process in two ways.…
